Getting started

Set up CRM Quick Access in five minutes

Install the extension, connect your CRM account, and you are ready to work. This guide walks through setup, every feature, and the few settings worth changing.

Add to Chrome

Works in Google Chrome on Windows and Mac. Free for 7 days.

  1. Install

Add the extension from the Chrome Web Store and pin it to your toolbar.

  2. Connect

Click the icon, then Connect an account, and approve access.

  3. Add your clients

Connect every client account you manage. They all sit in one dropdown.

  4. Turn on reminders

Open Settings and choose how you want to be reminded before tasks are due.

1. Install and pin

  1. Open the CRM Quick Access listing in the Chrome Web Store and click Add to Chrome.
  2. Click the puzzle piece icon in Chrome's toolbar, then the pin next to CRM Quick Access, so it is always one click away.
  3. Click the icon. The panel opens on the right side of your browser.

Prefer the keyboard? Go to chrome://extensions/shortcuts and set a shortcut for CRM Quick Access to open it without the mouse.

2. Connect your account

  1. In the panel, click Connect an account. A sign-in window opens.
  2. Sign in to your CRM if asked, including any two-step verification.
  3. Choose the client account you want to connect, then click Allow.
  4. The window closes and the panel shows your tasks. The account's name appears in the dropdown at the top.

The extension only ever gets the access your own login already has. Your records are read live from the CRM and shown to you; none of them are copied to our servers.

Stuck on "Login to CRM to continue"? If signing in keeps bringing you back to the same screen, you are probably already signed in to the CRM in another tab. Sign out of the CRM everywhere, close those tabs, then click Connect an account again and sign in when asked.

Installed from the marketplace instead?

If you installed the app from your CRM's marketplace first, the page you land on afterwards shows a pairing code. In the extension, click Installed from the marketplace? Enter a pairing code, type the code, and click Link this install. Codes work once and expire after 15 minutes.

3. More than one account

Connect every client account you manage and switch between them in a second.

  • Open the dropdown at the top of the panel and choose + Add another account…, then approve access for the next client.
  • To switch, pick a different account from the same dropdown. Your tasks, opportunities, contacts, messages and appointments change with it. There is no signing in again.
  • If signing in is awkward, choose + Add with a pairing code… instead. Click Open the install page, approve the account in a normal browser tab, and paste the code it shows.

4. A tour of the panel

Tasks

Every open task, soonest first, with overdue work in red. Only tasks assigned to me is on by default. Click Complete to finish a task, or Reschedule to move it: pick +15 min, +1 hour, Tomorrow 9:00, or any date and time.

Opportunities

Search across your pipelines or filter to one. To move a deal, choose its new stage from the dropdown on its card and click Move. This tab is also your work queue; see the next section.

Contacts

Start typing a name, email or phone number and matches appear as you type. Click Add note to save a note on the contact while it is fresh.

Messages

Open a conversation to read the whole thread. Use the SMS and Email buttons to choose how to reply; email asks for a subject. Replies stay in the same conversation.

The + button

The round + button in the lower right creates whatever the tab you are on holds: a task, contact, opportunity or message. Tasks, opportunities and messages belong to a contact, so start typing to pick one.

5. The work queue

On the Opportunities tab, every card shows its contact's next open task, so the tab doubles as a list of who to contact next.

You seeIt means
Overdue badge, red edgeThe next task's due time has passed.
Today badgeThe next task is due later today.
Next badgeThe next task is due on a later day.
No open taskNothing is scheduled for this contact yet.
+2 after the taskThe contact has two more open tasks after this one.
  • Use Due today, Overdue or No task to show only those cards. All shows everything.
  • Change the sort to Next task due to put the most urgent follow-up at the top.
  • The line under the filters counts what is overdue and due today.

Tasks belong to contacts rather than to opportunities, so if one contact has two opportunities, both cards show the same task.

6. Quick tasks

Every opportunity and contact card has one-tap buttons such as Follow up in 2 hours. One click creates the task with the title, description, due time and owner already filled in. The first three show as buttons; the rest are under More….

These come ready to use:

ButtonCreatesDue
Follow up in 2 hoursFollow up with contact2 hours from now
Call tomorrow morningCall contactTomorrow at 9:00 AM
Follow up in 3 daysFollow up with contact3 days from now
Send proposal reminderSend proposal to contact, assigned to the record's ownerTomorrow at 10:00 AM
Check payment todayCheck payment from contactToday at 4:00 PM

Make your own

  1. Click Settings at the bottom of the panel.
  2. Under Quick tasks, click Add a quick task, or Edit on an existing one.
  3. Give it a button label and a task title. Write {name} where the contact's name should go, and {opportunity} for the opportunity's name.
  4. Choose when it is due: After a delay (minutes, hours or days) or At a set time (today, tomorrow, or a few days out).
  5. Choose who it is assigned to: you, or the record's owner.

Use Up to change the order, which decides the three buttons shown on each card. You can keep up to 20. Restore defaults brings back the original five.

A task set for a time that has already passed today, such as "Check payment today" pressed at 5 PM, is scheduled about half an hour from now instead, so it never starts out overdue.

7. Task reminders

Get reminded a set time before each task assigned to you is due. Reminders are off until you turn them on.

  1. Click Settings at the bottom of the panel.
  2. Under Task reminders, choose how you want to be reminded (below).
  3. Choose how long before: 1, 5, 10, 15 or 30 minutes, or Custom… for any time up to 4 hours.
  4. Click Send a test reminder to check it works.

When you choose Chrome notification, Chrome asks for permission to show notifications. Click Allow. It only asks at that moment, never at install.

Test reminder never appears? Your computer is almost certainly hiding it.

Windows: open the notification panel with Win + N and turn off Do Not Disturb. Then go to Settings, System, Notifications: make sure Google Chrome is on and Show notification banners is enabled, and that no Focus session is running.

Mac: System Settings, Notifications, Google Chrome: allow notifications and choose Alerts. Check that a Focus mode is not on.

A task added in the CRM is picked up within about 5 minutes. With a lead time of 10 minutes or more, that is never late; at shorter lead times it occasionally can be. Completing or moving a task in the CRM cancels its reminder at the next check.

8. Your next appointment

The bar along the bottom of every tab shows your next appointment that has not started yet, counting down as it gets closer. Once it starts, the bar moves on to the one after. If the appointment has an online meeting link, click it to join.

It follows My appointments by default. Pick a specific calendar from its dropdown and it remembers your choice.

If the bar says Reconnect to show your calendar, your connection was made before the calendar feature existed. Click Disconnect, then connect the account again.

9. Side panel or popup

At the bottom of the panel, Open as sets what the toolbar icon opens:

  • Side panel docks on the right and stays open while you work. Best for working through a list, and for in-panel reminders.
  • Popup drops down from the icon and closes when you click away. Best for a single quick action.

The change applies the next time you click the icon.

10. Trial and plans

Every plan starts with a 7 day free trial, and you can cancel before it ends. Plans are priced per client account, never per person: everyone on your team who works in an account is covered.

PlanPriceCovers
Solo$9/monthOne client account
Business Group (Up to 10)$49/monthUp to 10 client accounts
Business Unlimited$149/monthEvery client account you manage

The panel shows how many trial days are left. When the trial ends, it asks you to choose a plan, and checkout opens in a new tab. Going over 10 accounts on Business Group never locks anyone out; the panel shows an upgrade prompt instead. During a trial, Manage in the banner at the top of the panel opens your billing settings. To change or cancel a plan at any other time, email chromesupport@canitbeautomated.com.

11. Disconnect or remove

  • Disconnect one account: select it in the dropdown and click Disconnect at the top of the panel. Its access is removed from this browser straight away. Any other connected accounts stay connected.
  • Remove the extension: go to chrome://extensions and click Remove on CRM Quick Access. Everything it kept in your browser is deleted.
  • Revoke access in the CRM: uninstall the app from the account's marketplace or integrations settings.

Because your records are never copied to our servers, there is nothing of yours left to clean up afterwards. See our privacy policy for exactly what is kept.

12. Troubleshooting

Signing in keeps returning to "Login to CRM to continue"

Sign out of the CRM in every tab and close them, then connect again and sign in when asked. If it still loops, use the pairing code route in section 3, which signs in from a normal browser tab.

Search says "No contacts in this account matched"

Search only looks in the account shown in the dropdown at the top. Check you are in the right one, or switch accounts and search again.

Complete or Reschedule is greyed out on a task

That task is not linked to a contact. The CRM only allows tasks to be completed or moved through their contact, so open the task in the CRM to change it.

The appointment bar says "Reconnect to show your calendar"

Your connection predates the calendar feature. Click Disconnect and connect the account again.

Reminders do not show up

Check that Settings, Remind me is not set to Off, and that the task is assigned to you and has a due time.

For Pop-up in the extension, the panel has to be open. For Chrome notification, use Send a test reminder; if nothing appears, follow the Windows or Mac steps in section 7.

The panel says my connection expired

Click Reconnect and approve access again. This happens if access was removed in the CRM, or the app was reinstalled there.

The panel asks me to subscribe

The free trial or subscription for this account has ended. Choose a plan to carry on. If you have just paid, click Already subscribed? Refresh; it can take a few seconds to register.

Clicking the icon opens a popup, but I wanted the side panel

At the bottom of the popup, set Open as to Side panel. It applies the next time you click the icon.

Still stuck?

Click Support at the bottom of the panel, which fills in the details we need, or email chromesupport@canitbeautomated.com.

We aim to reply within 24 hours.
